Executive Assistant to the CEO Position Summary:
The Executive Assistant will serve as the right-hand person to the CEO, providing administrative, communication and logistical support for a wide range of important topics such as operations, administration and fundraising. Day-to-day responsibilities will involve organizing complex meetings on
diverse topics, proactively manage a CEO’s busy schedule and provide high-level administrative support to the President & CEO relieving them of administrative functions in order to increase the time the CEO has available for executive level responsibilities. They will also support other key managers by conducting research, preparing statistical reports, coordinating projects and meetings that require the CEO’s attention and handling high-level confidential information requests.

Principal Duties and Responsibilities (including but not limited to):

  • Provide high-level administrative support to the CEO which includes composing correspondence requiring knowledge of the CEO’s views, philosophy, and some understanding of technical matters; anticipate matters that require the CEO’s attention; may sign for the CEO when technical or policy content has been authorized.
  • Manage the CEO’s calendar, including scheduling appointments and prioritizing time-sensitive matters, or declining appointments or invitations. Handle travel and other logistical arrangements as necessary.
  • Prepare the CEO for meetings and appointments by summarizing the content of incoming materials, emails or information; research and provide background sources and related documents or correspondence and prioritize for the CEO.
  • Arrange, on own initiative, for CEO and key staff members to represent the organization at meetings and conferences.
  • Serve as the primary point of contact for internal and external stakeholders with professionalism and strict confidentiality; respond to inquiries or redirect individuals to the appropriate party; proactively follow up and coordinate responses.
  • Schedule and coordinate major meetings including staff, funders, partners, other media organizations and the RIPBS-TPR Board of Directors, ensuring timely communication and follow-up.
  • Act as the primary staff contact for the Board of Directors and provide any pertinent information they may require.
  • May develop meeting agendas and attend, record, type, and distribute meeting minutes. Track commitments made by the CEO during meetings and arrange for staff implementation. May delegate assignments on behalf of the CEO.
  • Implement effective processes to track and monitor tasks, timelines, deliverables and matters pertaining to the CEO and/or organizational-wide projects. Proactively follows up with others to ensure efficiency, timeliness and coordination.
  • File and retrieve corporate documents, records and reports.
  • Manage data and prepare reports for the CEO, Leadership Team and Foundation Board.
  • Maintain comprehensive and accurate records.
  • Perform other related duties.

Qualifications:

  • High School diploma and/or its equivalent is required. Associates Degree in Business or related field is highly preferred.
  • 3-5 years’ experience as a mid-to senior-level administrative assistant is required.
  • Experience in a business, management, or related field is required. Experience with Public and/or Non-profit agencies is highly preferred.
  • Intermediate to advanced level computer skills in multiple computer programs, including Microsoft Office Suite (Word, Outlook, PowerPoint, and Excel) and Google Suite; scheduling appointments/updating calendars; strong internet research skills required.

  • Ability to perform clerical duties including, taking memos, maintaining files and confidential information, and organizing documents.
  • Ability to work independently with strong follow-through skills.
  • Excellent written and verbal communication skills.
  • Flexibility and the ability to concentrate on multiple problems/tasks at once.
  • Proactive with the ability to handle matters with discretion and confidentiality.

Physical Demands and Work Environment:

  • Work environment is office and occasionally in the broadcast production studios.
  • Able to sit at a work station, concentrate viewing computer screens for an extended period of time.
  • High utilization of office equipment.
  • Must be able to sit for long periods of time and bend.
  • Able to travel locally occasionally.
  • Must be able to work 100% of the time on-site.
  • Occasional work on weekends and evenings may be required.

Compensation will be commensurate with experience and qualifications. Salary range is $75K-$85K annually.
